General key points of writing a business letter:

1.       Follow proper format of a business letter.

2.       Never write ‘Mr.’ before your name in complimentary closing.

3.       A business letter follows two strategies, direct and indirect. A few business communication experts    suggest using direct strategy when the letter contains good news and indirect strategy when the          news is bad. This is wrong.

   Use of direct and indirect strategy depends upon the audience. If they are receptive, use direct            strategy. If they are unreceptive, use indirect strategy.

4.       When the message is long and will continue on the next page i.e. continuation sheet, page number 2     will only have the logo of the organization. Giving all the contact details again should be avoided.

5.       Subject line is not optional. It is compulsory in each and every case, whether the letter is negative,       positive, direct or indirect. Further, ‘Subject’ should be very communicative and very brief.
    Always remember, not to write subject line in block letters because capital letters are taken as a            shouting.

6.       No Attention line is required.

7.       No 2nd page heading needed.

8.       Audience analysis is important.

9.       For students required to write a circular letter in their exams, always remember to write the following     note: “I am using mail merge feature of a word processor so it is a personalized letter.”
